The first task in making a successful vacation plan is to know how much time is available to you. You might have to shift some responsibilities on other whilst you are on vacations, for example, hiring people to do different things, deferring projects, giving some responsibilities to your employees or friends or may be members of your family etc which may help you sparing some time for your vacation.
Actually strategies for sparing time for your vacations depend on the type of business you run. For example, if you run your business usually by making appointments with the client, then the best way is to drop an e-mail or letter to your clients; making them aware about the duration of time that you won’t be available. Ask them to fix their appointments before or after the vacations. Also tell them to whom should they refer in case of urgency whilst you are on vacation. A similar method is to leave a voice message for your clients.
As mentioned earlier, strategies for informing the customers about your vacations varies and depends on the type of business you run. If you rely on walk-in clients, then it would be great if you keep your place open for them rather then closing it. It might cost you some customers in future. You should give your employees additional training for handling the customers. You can even call your best business colleague to act as a boss if anything gets stuck because of the employees.
You should have the answers of some serious questions like, “If the business is only run by you; a one man show, do you have a back-up plan?” Not only for the vacations, but you should also have a back-up plan for incidents like bad health etc. You should train a person who doesn’t require regular work like a retiree person, an educated student etc to run your business in your absence. Make sure that the person you choose is trustworthy. It is also important to decide the best time for vacations. In one way or another, your vacation will cost you financially and in order to lessen the affects, you should plan your vacations in the slow business time of the year. For example you can plan your vacations in August. It is also better to determine the cost of your vacations in advance. This will help you in making a budget for your income. For example if you are going for a three week vacations, then assume your income for only 49 –week yearly and base your expenses on 52 weeks for an year. The difference in your income would be 5% so you should consider getting this income back by the same percentage; 5%. When you get this 5% in your pocket, then you are ready for your vacations.
The best way to reduce the cost of your vacation is to combine your vacation with a business trip. According to a report by IRS, the travel expenses are full tax-deductible (in North America) provided that more than 50% of your expenses are spent because of conducting business. One reason why most of the entrepreneur hesitates in going out for vacations is because of their fear that their business might function properly without him.
